This covers gamehaven.guru and the Game Haven mobile app. Both are run by Northwood Game Haven, 115 W Spring St, Chippewa Falls, WI 54729.
Northwood Game Haven is ECCentric LLC, trading as Northwood Game Haven. It runs the café, the shop, the event rooms and your rewards account, and everything on this page describes what it does with your information. It is who to contact about any of it.
This website and the Game Haven app are built, hosted and published by Northwood Experiences LLC — a separate company in the same building, which also operates the two overnight suites. It is the developer you'll see on the app's Google Play listing. It runs the software on Northwood Game Haven's behalf and does not use your information for anything of its own.
Booking an overnight stay happens on VRBO, not here. The suite buttons in the app and on the website hand you over to VRBO's own site, where their privacy policy applies and we never see what you enter.
The short version. We collect what we need to hold your booking, get you into an event, and run your rewards account — nothing else. We don't sell your information, we don't run ads, and there are no advertising or analytics trackers in the app.
| Information | Why | When |
|---|---|---|
| Name, email, phone | To confirm and hold room bookings, event registrations and pickup orders, and to contact you about them | Only when you book, register or order |
| Mailing address | Birthday parties only — to mail the birthday hero's Replay Program follow-ups and, with the Pro Photo Session, the keepsake print | When you request a kids' party or the photo session |
| Photo consent record | With the Pro Photo Session we keep the consent statement you agreed to, when, and the device it came from — so we can show that party photos were requested by, and released only to, you. Party photos are never used for promotion | When you order the Pro Photo Session |
| Payment | Card payments are handled entirely by Stripe. We never see or store your card number | At checkout |
| Purchase history and rewards balance | To run your rewards account, held in our point-of-sale system (Lightspeed) | When you use rewards |
| A display name you type | Team names, karaoke singer names, event check-in — shown on the in-store screens during that event | Kept after the event until staff clear it; ask us and we'll remove it |
| A random device ID | So your phone keeps its place in an event if the page reloads. Generated on your device, not linked to you | Stored on your device |
The app asks for the camera only to scan QR codes — joining a karaoke session or redeeming a special. Images are processed on your device as you point it at the code. Nothing is recorded, stored or transmitted, and every screen that uses the scanner also accepts a typed code, so you can decline the permission and still use the app.
We use a small number of services to run the business. They only receive what they need to do their job, and none of them receive your information for their own marketing.
We do not sell or rent your information to anyone, for any purpose.
Booking and order records are kept while they're needed to run and account for the business. Event display names — team names, karaoke names, Speed Gaming check-ins — are kept with that event's record after it finishes, and staff clear them periodically; ask us and we'll delete yours. Turn-tracker tables are the exception: they erase themselves 12 hours after the last action. Rewards history lives in your Lightspeed account for as long as that account exists.
The Game Haven app is a general-audience app for a family venue. It isn't directed at children under 13 and we don't knowingly collect personal information from them. Younger guests are welcome in the shop — a parent or guardian books and registers on their behalf. If you believe a child has given us information directly, email us and we'll delete it.
For a kids' birthday party the adult host gives us the birthday child's first name and the age they're turning, so the Guru can run the party — never a date of birth; the "half-birthday" follow-up is simply six months after the party date. Party photos from the Pro Photo Session go to the host only, are never used for promotion, and are deleted within 90 days of delivery (sooner if the host or a guest's parent asks).
The site and the app talk to our servers over HTTPS. Staff access to the Guru console is password-protected. Card details never touch our systems. No system is perfect, and we won't pretend otherwise — but we keep the amount we hold small on purpose, which is the most reliable protection there is.
If this changes we'll update the date at the top of the page. Anything significant, we'll say so in the app.
