Terms & Conditions

These terms govern visits, memberships, room reservations, and use of Northwood Game Haven ("NGH," "we," "us") at 115 West Spring Street, Chippewa Falls, WI 54729. By entering our space, booking a room, or using our services, you agree to these terms.

1Acceptance & Eligibility

By entering NGH, reserving a space, or using our services you confirm that you have read, understood, and agree to these Terms & Conditions and any posted house rules. The person who submits a reservation ("Booking Host") is responsible for their entire party's compliance with these terms. Booking Hosts must be at least 18 years old. Anyone under 18 must be supervised as described in Section 11.

2Hours of Operation

"Normal business hours" means the hours NGH is open to the general public, as posted on our Google Maps / Google Business listing and/or on signage within or near Northwood Game Haven at 115 West Spring Street. Hours may change for holidays, private events, or seasonal reasons. Private room reservations may be available outside normal business hours; certain rules below (alcohol, outside food & drink) apply specifically during normal business hours.

3Conduct & Right to Refuse Service

We want NGH to be welcoming for everyone. Guests agree to:

NGH reserves the right to refuse service, end a session or reservation, or remove any person who violates these terms or whose conduct we determine, in our reasonable discretion, to be unsafe, unlawful, or disruptive β€” without refund of fees and with potential forfeiture of the deposit.

Because NGH offers in-house concessions and partner-restaurant dining, the following rules apply:

7Refundable Deposit

A refundable deposit hold is required for every reservation:

The deposit is refunded in full provided that, at the end of the reservation:

If items are damaged, lost, or stolen, or the space is not left reasonably cleaned, or these terms are violated, NGH may withhold all or part of the deposit and, where damages exceed the deposit, charge the Booking Host for the additional reasonable cost of repair, replacement, or cleaning.

10Add-Ons & Equipment Checkout

Add-ons are subject to availability and may be limited or substituted. Included-free add-ons (console/game checkout, board/card game checkout, food pre-orders, karaoke, RPG library, and promotional/supplier support) carry no separate fee but do not waive the deposit or any usage rules. Food pre-orders are available during normal business hours only; ordering ahead is free but the food itself must be paid for and gratuities are not included. Karaoke adds $25 to the deposit. Promotional/supplier support must be coordinated through a certified Game Guru. Paid add-ons (BYO Food & Drink, private Game Guru) are billed as quoted. Checked-out equipment must be returned in the condition received; see Section 10.

11Damage, Loss & Theft

The Booking Host is responsible for all members of their party and for any damage to, or loss or theft of, NGH property (games, components, consoles, controllers, furniture, fixtures, dΓ©cor, AV equipment, and the premises) during their reservation or visit. Missing game components, damaged cards/boards, and broken equipment may be charged at reasonable repair or replacement cost. Such amounts may be deducted from the deposit and, if they exceed it, billed separately.

12Minors & Supervision

Children are welcome, but guests under 18 must be supervised by a parent, guardian, or responsible adult appropriate to their age, and that adult is responsible for their safety and conduct. NGH does not provide childcare or supervision. The Booking Host assumes responsibility for all minors in their party.

13Health, Safety & Assumption of Risk

Guests use NGH and its equipment at their own risk. Please follow posted safety guidance, keep walkways clear, and report spills, hazards, or injuries to staff immediately. Guests who are unwell are encouraged to visit another time out of consideration for others. Guests are responsible for knowing their own allergies and dietary restrictions.

14Limitation of Liability & Indemnification

To the fullest extent permitted by law, NGH and its owners, members, employees, and agents are not liable for any indirect, incidental, or consequential damages, or for injury, loss, or damage arising from use of the premises, equipment, or services, except to the extent caused by our gross negligence or willful misconduct. The Booking Host agrees to indemnify and hold NGH harmless from claims, damages, or expenses arising from their party's acts or omissions or breach of these terms. Nothing in these terms limits liability that cannot be limited under applicable law.

15Personal Property

NGH is not responsible for lost, stolen, or damaged personal belongings. Please keep valuables with you. Items left behind may be held as lost-and-found for a limited time and then donated or discarded.

16Photography & Media

NGH may photograph or record general activity in public areas for marketing and social media. By attending, you consent to appearing incidentally in such media. If you prefer not to be featured, let a staff member know and we'll do our best to accommodate. Guests recording within private rooms are responsible for obtaining consent from their own party.

17Privacy & Communications

Information you provide when booking (name, phone, email, party details) is used to process, confirm, and manage your reservation and to contact you about it. With your consent, we may send you NGH news and offers; you can opt out at any time. We do not sell your personal information. See any posted privacy notice for details.

18Intellectual Property

"Northwood Game Haven," the Stash mascot, our logos, room names, and site content are the property of NGH and may not be used without permission. Third-party game titles and trademarks belong to their respective owners; references are for identification only and do not imply endorsement.

19Memberships, Promotions & Sweepstakes

Memberships, VIP programs, discounts, and promotions are subject to their own additional terms, which control in case of conflict. Sweepstakes and giveaways are governed by their posted Official Rules. Promotional benefits have no cash value unless stated and may be changed or discontinued.

20Force Majeure

NGH is not liable for failure or delay in performance due to events beyond our reasonable control (e.g., severe weather, utility or internet outages, equipment failure, illness, labor issues, or government action). We will make reasonable efforts to reschedule affected reservations.

21Changes to These Terms

We may update these Terms & Conditions from time to time. The version in effect at the time of your visit or reservation applies. Material changes will be posted at NGH and/or on our website.

22Governing Law

These terms are governed by the laws of the State of Wisconsin, without regard to conflict-of-law principles. Any disputes shall be resolved in the state or federal courts located in or serving Chippewa County, Wisconsin, to the extent permitted by law.
